DEPARTMENT: Development
REPORTS TO: Membership and Events Manager
FISA STATUS: Non-Exempt
STATUS: 35 hours per week. Monday-Friday
BENEFITS: Full benefits including medical, dental, vacation accrual, 403b, and more
COMPENSATION: $22-$24.00 per hour
POSITION SUMMARY
The Frye Art Museum is seeking a positive, flexible team player to join the Development Department. The Development Coordinator provides key administrative support for the membership program and events, including responding to member inquiries, processing membership renewal mailings, membership gift acknowledgments, and supporting communications for member campaigns). The position helps ensure data integrity by regularly updating patron information, visitor data, and mailing preferences in the Frye Art Museum’s data base (Altru).
ESSENTIAL FUNCTIONS
- Provide administrative support for membership program, events, and fundraising activities across the development department
- Process monthly renewal request letters and mailings/appeals for new and lapsed members
- Process acknowledgement letters and receipts for membership gifts and donations in a timely fashion
- Help fulfill member benefits and stewardship mailings
- Monitor the member services email and phone lines, responding to email and phone inquiries from members and donors (in-person, phone), assisting or directing as appropriate
- Facilitate member and patron registrations, new membership purchases, renewed and upgraded memberships and donations
- As needed, update online forms and member purchases acknowledgements
- Maintain and update patron information and contact preferences in database as requested to ensure data integrity and coordination of internal systems (Altru and Mailchimp)
- Support events (in-person, hybrid, and online) at all stages
- Manage department inventory, order materials or supplies as needed
- Process and track auction requests on a monthly basis
- Participate in staff-wide DEAI trainings in order to contribute to an inclusive space for visitors/to implement relevant strategies and best practices in this role
- Perform additional duties as requested to support Development colleagues, overall goals, fundraising campaigns, stewardship activities and member and fundraising events
QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
- A commitment to teamwork, mutual respect, professionalism, and personal accountability
- Strong organizational skills with attention to detail and accuracy
EDUCATION/EXPERIENCE
- High School degree or equivalent experience preferred.
- A minimum of two years’ experience in a customer service setting.
WORKING CONDITIONS:
Work areas are inside, in a climate-controlled environment within an open area with background noise. Work is occasionally performed at other indoor sites. Shift times may vary to meet the Museum's requirement to staff the facilities at all hours. This position is eligible for a hybrid in-person/remote work arrangement with regular in-office worktimes as arranged with their manager.
PHYSICAL ACTIVITIES REQUIRED TO PERFORM ESSENTIAL FUNCTIONS:
- SITTING/STANDING/WALKING: Approximately 90% of time is spent seated while working at a desk. Balance of time (approximately 10%) is spent standing or moving around the work area. Ability to stand for extended periods of time when assisting at Museum events.
- SPEAKING/HEARING: Clear diction and acute hearing are necessary for effective communication with vendors, the public, and co-workers.
- LIFTING/CARRYING/PUSHING/PULLING: The ability to lift and carry up to 20 pounds is necessary for moving material and equipment for events.
- VISION: Corrected vision close to 20/20 is necessary to effectively use the computer screens.
- STOOPING/KNEELING: The ability to stoop and kneel is necessary for accessing files.
- REACHING/HANDLING: Good manual dexterity is necessary for computer keyboard use and for retrieving and working with appropriate paperwork, equipment, and supplies.
